Privacy at Spoke Voice

Who we are
Spoke Voice is a trading name of Toneworks Holdings Pty Ltd (ABN 72 698 577 418), Perth, Western Australia. We build and operate AI-powered phone receptionists ("Molly") for trade and service businesses.
What we collect when you speak with Molly
When you call a number answered by Molly, or she calls you, we collect: the audio recording of the call, a text transcript, your phone number (caller ID), and any details you give her — typically your name, address, contact details and what the job or enquiry is about. Molly tells you she's AI-powered, and that the call is recorded, at the start of the call.
Why we collect it
To do what you rang about: take your booking or message, pass your details to the business you called, confirm appointments, and follow up. For our own calls (for example inviting a business to a demo), we use it to schedule and run that demo. We also use call records to monitor quality and improve Molly.
Cold calls and marketing
Before any marketing call, we wash numbers against the Do Not Call Register and re-wash them at least every 30 days. Say "take me off your list" on any call — or reply STOP to any marketing text, or use the unsubscribe link in any marketing email — and we'll suppress your contact details across all channels.
Who else sees your information
We use trusted service providers to run the service: Retell AI (call handling and transcription), Twilio (telephony and SMS), Cal.com (bookings), Google Workspace (email and storage), Airtable (customer records), and the AI model providers our platform runs on. Some of these providers store or process data outside Australia (including in the United States); we take reasonable steps to ensure they handle personal information consistently with the Australian Privacy Principles. Where you called a tradie's business, the details you gave Molly go to that business — that's the point of the call. We don't sell your information.
Storage and retention
We keep call recordings, transcripts and related records only for as long as we need them for the purposes above and to meet our legal obligations, and then delete or de-identify them. You can ask us at any time to delete what we hold about you — see below.
Access, correction and deletion
Email [email protected] to ask what we hold about you, correct it, or have it deleted. We verify it's really you, then action requests across all our systems and confirm within 30 days. Some records we're legally required to keep (or that are technically retained by carriers) may be kept in de-identified or minimal form — we'll tell you if that applies.
Complaints
Contact us first at [email protected] or ask for Neil on any Spoke Voice number. If you're not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
